We are seeking to hire an experienced Office Administrator/Bookkeeper for a small office in Turnersville, New Jersey.
This position would be full time in the office, remote is not available at this time.
The appropriate candidate will have at least 5 years of experience.
A qualified candidate should have extensive bookkeeping knowledge and a proficiency in QuickBooks, Excel and Microsoft Office 365.
*QUALIFICATIONS:*
* Previous experience in office management.
* Previous experience in public accounting or tax office is highly preferred.
* Proficient in calendar management and scheduling software.
* Excellent phone etiquette with knowledge of phone systems.
* Strong organizational skills with the ability to manage multiple tasks simultaneously.
* Experience in file management and record keeping.
* Be willing and able to work alone at times in the office (Self-Starter & Highly Motivated).
* Be able to accommodate distractions and still be able to complete tasks.
For example: While performing Task #1 you are interrupted by higher priority Task#2.
Complete Task #2, then return to properly finish Task #1.
* Be able to promptly, clearly and effectively communicate with clients and team members by phone, email and messaging systems
*Responsibilities and Duties*
1) General office and bookkeeping duties.
2) Engage with clients to obtain information, collect required source documents
3) Engage with clients to direct, advise, provide information and/or status updates
4) Utilize Microsoft Office 365 to create and maintain documents, spreadsheets and more.
5) Oversee the day-to-day operations of the office, ensuring smooth and efficient workflow.
6) Manage and maintain the office calendar, scheduling appointments and meetings.
Answer phone calls and provide excellent phone etiquette, directing calls to appropriate staff members.
7) Maintain and organize files, both physical and electronic, ensuring easy retrieval of information.
8) Manage front desk operations, greeting visitors and ensuring a professional and welcoming environment.
Data entry of financial information.
Assist with Transaction posting on QuickBooks.
Bank reconciliations.
Payroll preparation, including tax filings and form filings.
Sales tax calculations and filings.
