We are in search of a _*Payroll/Accounts Payable Specialist*_.
This role involves performing payroll and accounts payable functions.
The responsibilities of the position include payroll processing, payroll tax compliance, monitoring automated timekeeping systems, and payroll reporting.
The candidate will also be responsible for ensuring that all bills received are posted timely and accurately as part of the day-to-day Payables operations of the Company and its subsidiaries.
This is a crucial role in maintaining consistent cash flow and ensuring that all employee and vendor activity has been recorded accurately for monthly financial reporting.
The candidate will work closely with the Controller and Senior Accountant to ensure that an accurate and efficient system of accounting records is maintained, and all company policies, processes and controls are adhered to.
The position requires in-office presence from Monday to Friday, 8 am to 5 pm.
*Responsibilities and essential job functions include but are not limited to the following:*
_*Payroll*_
· Process and dispense payroll timely & accurately in compliance with federal and multi-state laws for 700+ employees in multiple companies with diverse administrative needs.
· Monitor Timecards and PTO requests for completion and accuracy in accordance with company policy.
· Process and monitor garnishment orders.
· Maintain accurate employee records regarding pay rates, shift details, promotions, transfers, leaves of absence, etc.
· Oversee end of year items such as W2 processing/distribution
· Facilitate preparation of management reports, including weekly, monthly, quarterly, and year-end reports
· Respond to all financial inquiries regarding, but not limited to, Unemployment, Wage Verification, and Employment Verification.
· Respond professionally and timely to employee inquiries regarding payroll issues or concerns.
_*Accounts Payable*_
· Enter all vendor invoices received into Sage Intacct utilizing AP Capture System, code and verify accuracy.
· Pay bills timely by creating ACH payment files, uploading to bank for approval and printing checks.
· Upload positive pay files to bank.
· Pay quarterly real estate taxes, utility, and other items on government portals timely.
· Maintain complete and accurate vendor records, collecting W-9s, ACH banking information, and COIs as needed.
· Collect required 1099 information for contractors to prepare annual 1099s.
· Communicate with third party vendors and team members in a positive and responsive manner.
· Maintain an orderly accounting e-filing system.
· Process Expense reports for payment

· Order and maintain the necessary level of office supplies.

*Knowledge, Skills, and Abilities:*
· 3-5 years solid experience in both Payroll and Accounts Payable in a multi-location/multi-entity retail environment, preferably food industry.
· Understanding of proper taxation of all payroll matters
· Ability to multi-task, prioritize, and adapt in a fast paced and highly fluid environment, requiring strong time management and organizational skills.
· Assertive, ability to work independently, as well as part of a team to support field operations while adhering to company policies and procedures.
· Collaborative prowess in working with others in reaching mutually satisfying solutions to shared obstacles, providing support to internal and field team members.
· Strong Microsoft Office skills, including Outlook, Excel and Word
· Comfortable with learning new Computer and software skills and working with file imports/exports of data between systems
· Effective spoken and written (English) communication skills, including composition and presentation skills.
· Critical thinking, decision-making, problem-solving, and analytical skills
· Strong organization skills and attention to detail
· Rigidly attentive to detail to ensure the highest level of quality and accuracy in reports and data analysis
· Personal attributes must include the highest level of energy, enthusiasm and ethics, the ability to maintain an entrepreneurial and hands on approach and the ability to work with a diverse group of senior managers
· Ability to use PC and widely used software packages (Microsoft 365 – Strong with Excel is a plus, as well as Word, Outlook, PowerPoint)
· Experience with Payroll programs
· Experience in retail industry preferred

Pay: $45,000.
